Booth Set Up Supervision

Supervision may be carried out by: 1) a representative of the exhibiting firm, 2) a consultant hired by the exhibiting firm, 3) a representative of the exhibit house, or 4) by the installation and dismantle firm (I & D). The latter is a default. In other words, if there is no other supervision provided, the I&D company will perform the responsibilities of the supervisor with their on site staff (lead men, city managers, etc.). A fee amounting to 30% of the labor is charged when the I&D company performs this service.

Responsibilities of the supervisor include:

  1. Track the freight of the client prior to the show if it does not arrive in a timely manner.
    a. Call shipper, client, Fed Ex, or whomever the shipper is.
    b. Contact the general contractor to check status of booth shipments.
    c. Search the show floor for misplaced freight.

  2. Check electrical layout against plans for accuracy. Contact electricians if not correct. Wait for their arrival.

  3. Coordinate any service orders with general contractor and/or vendors – riggers, fork lift, telephone, AV, plumbing, compressed air, internet, carpet, padding, etc.

  4. Know the booth properties and direct the crew’s efforts.

  5. Pack up booth properties and graphics properly.

  6. Fill out post show bills of lading.

  7. Preshow: Obtain all of the extra information and service orders necessary to complete the above responsibilities.

A client supplied supervisor must be physically present at the booth for the entire time period during which work is taking place. The supervisor must know the booth properties, be able to direct the installation and dismantle team, have the authority and expertise to make decisions and to make payments on behalf of the exhibiting company, be responsible for the safe packing of graphics and booth, track their own freight, stand in all service lines, label empties and outbound freight, complete Bill of Lading, correct any service orders, understand local union jurisdictions, and know how to trouble shoot arising problems.
